What sponsors and CROs should look for in a recruitment partner
The questions that separate accountable recruitment partners from lead vendors.
Published by Clinrol
Not all recruitment vendors are the same, and the differences show up months into a study when it is expensive to change course. The most important distinction is what the partner is actually optimised to deliver: raw leads, registrations and clicks, or enrolled patients. Everything else follows from that.
Start by asking how deeply candidates are screened before they reach a site. A referral should arrive with structured pre-screening data against your protocol's inclusion and exclusion criteria, not just contact details. Ask whether screening is done by web forms alone or also by phone, whether clinical staff are involved, and whether diagnosis, medications and treatment history can be verified where the protocol demands it. Unverified referrals shift the screening burden onto your sites, and sites remember which vendors send them work rather than patients.
Next, look at channel mix. A partner that relies on a single advertising platform will struggle when that channel saturates for your indication. Strong partners combine paid digital, healthcare professional referral pathways, advocacy and community outreach, and their own consented patient databases, and can tell you which channels perform for which therapeutic areas.
Reporting is the third test. You should be able to see the full funnel in near real time: registrations, eligibility outcomes, phone screens, referrals, site handoffs and enrolments, broken down by site, channel and region. If a vendor reports only lead counts, you will discover problems at the enrolment report, which is months too late.
Finally, examine commercial alignment. Pricing models based purely on lead volume reward the wrong behaviour. Look for structures that tie fees to verified referrals and enrolment milestones, so the partner shares your recruitment risk rather than profiting from your funnel's leaks.
Clinrol Recruit was built around exactly these principles: multi-channel acquisition, AI plus human screening, medical verification where required, live funnel dashboards and outcome-aligned pricing. Whoever you evaluate, put these questions in the RFP, because the answers predict how your enrolment curve will look.
